We are looking for a detail-oriented Administrative Specialist to support our bids and contracts team during a portfolio transformation project. In this role, you’ll map and analyze contracts, assess risks, ensure ongoing contract coverage, and manage data transfers between systems. You’ll also participate in data validation, cleansing, and other activities to ensure smooth project execution within the scope of bids, tenders, and contracting.
This is a fixed-term contract until the end of 2026.
Key Responsibilities
Gather, map, and analyze all types of contracts (direct, indirect, public, private, sell-side) linked to portfolio changes, identifying risks associated with contract modifications.
Track contract status, amendments, and manage notifications to ensure compliance and business continuity during transformation.
Assess, document, and communicate risks linked to migrating or accelerating portfolios.
Manage data migration and cleansing from current J&J systems to new sources, ensuring data quality, sanity checks, and definition of requirements.
Support with Excel-based data mapping, validation, and inputs for supply and commercial teams.
Prepare and track official customer notifications; coordinate responses regionally.
Support Baltic pricing administration (with Poland team), including price data entries and checks.
Use internal systems (MS Office/Excel, JD Edwards, internal AI tools) to ensure smooth project delivery.
Contribute to cross-functional team meetings with Legal, Commercial, IT, and regional colleagues.
Generate reporting using provided templates, highlighting key findings, risks, and actionable insights for decision making.
Ootused kandidaadile
Bachelor’s degree in Business Administration, Finance, Legal Studies or similar.
Proven experience in contract and/or tender management, analysis, or project support (MedTech or healthcare environment is a plus).
Excellent analytical and organizational skills; attention to critical detail in legal/contractual documentation.
Proficiency in Excel (VLOOKUP, pivot tables, filtering for data cleansing/mapping); additional experience with JD Edwards or similar ERP systems is an advantage.
Fluent English and Estonian; Latvian or Lithuanian a strong plus.
Clear, proactive, and structured communicator; able to engage effectively with different functions and cultures.
High integrity, sense of ownership and responsibility for deadlines and deliverables.
